Sending an email 

Prepare to send an email to your constituents with these steps. In addition to this guide, use the Pre-Send Checklist to make sure your email’s appearance, content, and data are correct. These resources help ensure you’ll send the right email to the right people.

Sending Instructions

1. Navigate to Email Studio within Marketing Cloud.
2. Click on Content.
3. Locate and open the email.

4. Click the Send button in the upper right corner.

5. Define Properties:
   1. Ensure the email selected is the one you want to send.
   2. Under Email Properties, make sure the subject line and preheader are correct.
   3. Under From Options, click on Saved Send Classification
      1. For Email Framework sends, select one of the following Email Framework send classifications: "Email Framework - Commercial" for messages a constituent can unsubscribe from or "Email Framework - Transactional" for messages constituents can't unsubscribe from (this is rare)
      2.  The system will then pull in the send classification information based upon your brand configuration.
      3. To ensure your send classification brings in the correct information, make sure you've completed a test send and gone through the pre-send checklist to confirm your from name and email and reply name and email are what you expect.
   4. Click Next.

6. Select Audience:
   • Select All Audience Types from the drop-down menu on the left side of the page.

1. • Locate your subscriber list or data extension in the folders.
   • Drag and drop the subscriber list or data extension into the Targeted field.

1. • When using a data extension, select the correct publication list for your send. DO NOT USE ALL SUBSCRIBERS because this will allow constituents to unsubscribe from all emails sent by any IU department.

1. • Check that the Total Targeted number is correct. If you’re unsure, exit the process and verify.
   • Drag and drop any excluded or suppressed subscriber lists or data extensions into the Excluded and Suppressed field (if applicable. 
   • Specify any email addresses for CC and BCC (if applicable).

7. Configure Delivery:
   1. Determine when to send the email:
      • Immediately
      • Scheduled on a specific date and time
   2. If you’re sending to more than 30,000 constituents, set Send Throttling to no more than 180,000 emails sending per hour.
   3. Choose Tracking settings to control the tracking log for the send. Recommending settings include:
      • Track Clicks (selected)
      • Retain Send Log Data (selected)
      • Suppress from Send Report (unselected)
      • Select Destination Folder (“my tracking” is default but you can use or create any folder)
      • Advanced Options, Multipart MIME (selected)
   4. Click Next.

8. Review and Send:
   1. Review send settings:
      • Targeted Audience
      • Total Targeted
      • Excluded and Suppressed Audience
      • Send Timing
      • Delivery Window
      • Hourly Threshold
      • Track Clicks
      • Retain Send Log Data
      • Suppress from Send Report
      • Suppress from Send Report
      • Tracking Destination Folder
      • Multipart MIME
   2. Check the sender name and email, subject line, and preheader.
   3. Make sure the overall email displays correctly (if used, dynamic content is unable to display in this view, as shown in the example).
   4. To change something, click Back.
   5. To send the email, check the box to confirm the information is correct and the email is ready to send.
9. Click Send. You will see a confirmation in green saying, "Email successfully sent." Congratulations!

Oh no! You scheduled a send and realized you need to cancel it. NOTE: If an email is set to send immediately, you might not be able to cancel it.

1. In the top navigation in Email Studio, navigate to Tracking > Sends
2. Select the folder you set the tracking for this send to go to
3. Check the box to the left of the email send
4. Click “Cancel send”

If you need to resend the email after making an edit, you'll need to go through the send process again.
